# Requirements: SharePoint Work Queue Monitor

> **Version 1.0.0 · Last updated 2026-10-22 · Estimated setup time: 45–90 minutes**

Use this checklist before you hand CLONE-INSTRUCTIONS.md to your clone. Your clone will also check most of this during discovery.

---

## 1. Required skills / operators

Use the exact names below. **Confirm exact operator names and capabilities in your catalog** before saving the skill. Your clone will report the exact names it finds.

> Skill names can differ slightly between orgs. Confirm the exact names in your skill catalog before saving the skill.

| # | Skill / operator (exact name) | What it's used for | Notes |
|---|---|---|---|
| 1 | **Microsoft Share Point Queries** | Read lists, views, items and columns | Required. Phase 1 |
| 2 | **Microsoft Share Point Actions** | Write list items | Phase 3 only, optional, each change approved |
| 3 | **Microsoft Share Point Admin** | Not used | Admin work is out of scope |
| 4 | **Outlook email operator** or **GoogleGmailOperator** | Email the daily digest and weekly report | One delivery method needed (or Teams/Slack) |
| 5 | **SharePoint Queue Monitor** (custom skill) | The workflow itself | Saved from CLONE-INSTRUCTIONS.md section 7 |
| 6 | **Scheduled task** (via the `platform` tool) | Daily digest and weekly report on `{SCHEDULE}` | Not needed for on-demand use |
| 7 | **Microsoft_Excel** | Export weekly numbers | Optional |
| 8 | **Teams or Slack** | Post the digest to a channel | Optional (post only) |

## 2. Connections and minimum permissions

| Connection | Minimum permission | Why |
|---|---|---|
| Microsoft 365 (SharePoint) | **Sites.Read.All**. The connected account must have access to the site and lists | Read lists, views and items |
| Microsoft 365 (SharePoint), Phase 3 only | Edit rights on the lists for the connected account, and confirmation that your SharePoint operator can update list items in your org | Apply approved changes |
| Outlook or Gmail | **Send** to your recipients | Deliver the digest and report |
| Teams or Slack (optional) | Post to a channel | Deliver the digest and report |

Important points:

- **"Access denied" usually means missing SharePoint permission.** Delete the connection and re-create it to pick up Sites.Read.All.
- **A dedicated clone account works well.** Give it access to the site and the lists it should monitor.
- **Some connections must be finished in the integrations settings** instead of in chat.
- All connections are made by **you** through the platform's sign-in (OAuth). Your clone never needs your password.

## 3. Optional add-ons

| Add-on | Adds | Operators |
|---|---|---|
| **Excel export** | Weekly throughput numbers in a workbook | Microsoft_Excel |
| **Teams or Slack delivery** | Digest in a team channel | Messaging integration |
| **Phase 2: drafted updates** | A suggested-updates list for a person to apply | Same skill, `{PHASE}` = 2 |
| **Phase 3: approved updates** | Clone applies each approved change | Microsoft Share Point Actions |

### Google ⇄ Microsoft 365 mapping

| Concept | Google Workspace | Microsoft 365 |
|---|---|---|
| Work queue lists | Not applicable (SharePoint is Microsoft 365) | SharePoint lists (Microsoft Share Point Queries) |
| Email delivery | GoogleGmailOperator | Outlook email operator |
| Spreadsheet export | GoogleSheets-Operator | Microsoft_Excel |

### Slack ⇄ Teams mapping

| Concept | Slack | Microsoft Teams |
|---|---|---|
| Digest delivery | Post to a channel | Post to a channel |
| Read as a source? | No (post only) | No (post only) |

## 4. Data prerequisites

- [ ] **You know the site and list names** you want monitored.
- [ ] **You know the internal column names** (the clone lists them at setup for confirmation): status, due date, owner, stage, match field.
- [ ] **You know which values mean "done"** (`{DONE_VALUES}`).
- [ ] **You have chosen a view or the full list** (`{VIEWS}`). Remember views can hide items.
- [ ] **Dates are filled in** for items that should have due dates.
- [ ] **Your time zone** is known (for dates).
- [ ] **A match field** exists across related lists (if you want mismatch checks).
- [ ] **One list picked for the first test**, and you can filter it by hand.

## 5. Roles and permissions

| Who | Needs to |
|---|---|
| **Clone admin** (owner of the clone) | Attach operators, approve the plan, save the skill, create or approve scheduled tasks |
| **SharePoint site owner** | Give the connected account access to the site and lists |
| **Microsoft 365 user** | Connect the Microsoft account with Sites.Read.All |
| **Microsoft 365 admin** (only if your org restricts app permissions) | Approve the SharePoint read permission |
| **Queue owners** | Review the digest; apply drafted updates (Phase 2) |

## 6. Estimated setup time

| Step | Time |
|---|---|
| Pre-flight check (this doc) | 10 min |
| Clone discovery + placeholders + column confirmation + plan | 20 min |
| Microsoft 365 connection and site access | 10–20 min |
| Save skill + scheduled tasks | 5–10 min |
| Test on one list and compare counts | 15–30 min |
| **Total** | **45–90 min** |

## 7. Pre-flight checklist

- [ ] I'm the clone admin (or have one available)
- [ ] I can sign in to a Microsoft 365 account that can open the site and lists
- [ ] The connection can have Sites.Read.All
- [ ] I know `{SITE}`, `{LISTS}` and `{VIEWS}`
- [ ] I know my done values and stuck threshold (default 3 days)
- [ ] I can pick the list for my first test
- [ ] I've decided who gets the digest (`{RECIPIENTS}` or `{TEAM_CHANNEL}`) and `{SCHEDULE}`
- [ ] I understand Phase 1 is read only, and I'll wait at least a week before Phase 2
- [ ] I will not enable Phase 3 until I confirm my operator can update list items in my org

## 8. You're ready when…

- ✅ "Microsoft Share Point Queries" is attached and the Microsoft connection can read your site and lists.
- ✅ You have answers for the placeholders in README section 6.
- ✅ You have confirmed the internal column names.
- ✅ You can filter your first list by hand to check the clone's counts.
- ✅ You are comfortable starting with Phase 1 (read only).

Then download **CLONE-INSTRUCTIONS.md** and give it to your clone.
